Terms of Service

Unless otherwise defined, the following terms shall have the meanings as follows: “customer”, “you” or “your” refers to all persons in the traveling party; “the company”, “we”, “us or “ours” refers to Aegean Dreams Greece Travel by Fenming Travel Pte. Ltd.; “Service Provider” refers to the operators and vendors at the destination, “Service” collectively refers to the package, itinerary, professional service or a combination of these.

Please carefully review these Terms and Conditions before making your booking. You are deemed to have read, understood and accepted the following terms and conditions and agree to be bound by the following terms and conditions and agree to carry out your obligations as stipulated in this document.

1. GENERAL TERMS & CONDITIONS

a. Package excludes international airfare prices.
b. Further subject to the terms and conditions of Service Provider which may be more stringent than, and take precedence over any terms and conditions herein by the company.
c. We try to be as accurate as possible in describing the Service offered, however it is possible that these are not completely error-free. We reserve the right to correct any errors without liability or prior notice.
d. Once itinerary is confirmed by you, any amendments or cancellation is subjected to the amendment and cancellation policy.
e. The components in the Service is fulfilled by individual Service Provider. We will use reasonable endeavors to seek alternative arrangements during unforeseen events. Under any circumstances, we are not liable for any money paid by you in the case that the Service Provider fails to perform its obligations.
f. Sequence of events and places visited may change from the order in the itinerary to unforeseen circumstances beyond our control.
g. Please note that the company is acting as an agent for Service rendered. Even after the deposit or full payment has been made, all arrangements are still subject to final confirmation.
h. Personal insurance coverage is highly recommended.

2. BOOKING & PAYMENT

Unless otherwise defined, the following terms shall have the meanings as follows: “planning fee”, “booking fee” or “deposit” collectively refer to the minimum monetary amount required to have the company proceed with work stipulated under section 2.1.

2.1 PLANNING FEE:

a. A planning fee is required as professional planning and consultation fee. The amount is determined by the complexity of the requested service such as the itinerary, tourism season of the destination(s) , number of persons, travel duration and other special requests. The planning fee shall be informed in the service quotation.
b. The planning fee also gives you the temporary right to hold the quoted service, price and promotion (if any), subject to an expiration date.
c. Payment of the planning fee does not constitute confirmation of the Service.
d. Should you accept the personalized itinerary, the planning fee shall constitute towards the final payment. Otherwise, the planning fee is non-refundable and the company is therefore release of all obligations.
e. Should we do not receive any decision from you 10 calender days after the planning and consultation has commenced or 10 calender days after presentation of the personalized itinerary, whichever is earlier, we shall treat this as cancellation on your part and therefore the planning fee is forfeited. The company is therefore release of all obligations.
f. Further to clause 2.1(d) and 2.1(e), cancellation for booking with special promotion is subject to cancellation policy stipulated under section 5.

2.2 PAYMENT:

a. A 50% of the total package price is required to proceed upon acceptance of the personalized itinerary or latest 90 calender days before departure date, whichever is earlier. If payment is not received on time, we reserve the right to treat it as cancellation on your part and forfeit all fees already paid. The company is therefore release of all obligations.
b. Balance amount is to be paid upon delivery of travel information pack, or 60 calender days prior to departure date, whichever is earlier. If payment is not received on time, we reserve the right to forfeit all fees already paid and treat it as cancellation on your part. The company is therefore release of all obligations.
c. Payment of the fees does not imply the itinerary and associated services are final, they may subject to change due to factors beyond control.
d. Any payment is to be paid directly to the company, any private arrangement with service provider without the consent of the company shall constitute a breach of agreement and we reserve the right to forfeit all fees already paid and cancel the booking.
e. Travel insurance is highly recommended as set out in clause 12.

3. PRICES, TAXES & FOREIGN CURRENCY

a. Prices are in EURO currency unless otherwise stated.
b. Singapore Dollars (S$) equivalent shall be computed at time of invoicing, at the discretion of the financial institutions’ prevalent currency exchange rates. We are not responsible for any fee imposed by the financial institutions and/or it’s third part agents and any loss due to currency exchange fluctuation.
c. Due to business agreements, the company is not able to breakdown the cost of each component. The quotation is presented as one package and billed as one amount.
d. Inclusions and exclusions are as stated in the final quotation. Unless otherwise stated, package prices include taxes. However you are responsible for any additional airport surcharges including baggage, fuel, security and other charges by the airport, airlines and associated service provider.
e. Gratuities to drivers and tour guides are not mandatory, it is strictly on goodwill basis.
f. Destination government and local municipalities imposed local tax (also known as city tax/tourist tax) for overnight stay in hotels. Clients must pay the tax in cash upon arrival, actual amount subject to confirmation before departure.

4. AMENDMENT & CANCELLATION

a. All cancellation requests must be made in writing to the company before departure. Cancellation fees apply and are computed based on when the cancellation notice is received in writing and acknowledged by us.
b. All cancellations and/or change must be effected through the company. Please do not contact the individual Service Provider.
c. Any changes to the itinerary and/or package before the departure is subject to availability and restrictions imposed by the destination especially during peak travel periods. Any additional cost and risks associated with the change shall be borne by customer.
d. Barring extraordinary circumstances changes after the commencement of travel is not possible.
e. Any deviation from the itinerary is solely at your own risk. We are not responsible for any inconvenience and extra costs incurred as a result. No refund shall be made for any unused travel components in part or full.
f. Any package and itinerary booked is a complete travel solution, we do not provide breaking the itinerary into part(s). Any unused travel components in part or full shall be deemed as cancelled and no refund shall be made.
g. Package purchased is not transferable, we reserve the right to forfeit all fees already paid and cancel the booking if there is a breach of agreement.
h. Any change to the identity of a traveler or to the agreed travel dates shall be deemed a cancellation of the booking and hence subject to the cancellation fee set out in clause 5.
i. A minimum amendment fee of 50 Euro per person per change and any further cost the company incur, will be charged for any revision or alteration made after the booking is secured. Fee and charges may increase closer to the departure date. We will try to accommodate the change request subject to availability. We are not obliged to effect the change if it significantly compromises the quality of travel experience.
j. Travel insurance is highly recommended as set out in clause 12.

5. CANCELLATION FEE

a. The cancellation fee is computed based on the charges below. The planning fee is non-refundable in all cases and does not constitute as part of the cancellation fee.
b. You will be notified of the amount of the cancellation fee payable as soon as possible and must settle the cancellation fee within 3 calender days of such notification.
c. We reserve the rights to charge interest for outstanding cancellation fee payable.

NOTICE PERIOD CANCELLATION FEE
From time of booking to 90 calender days before departure 25% of total price
89 to 60 calender days before departure 50% of total price
Less than 60 calender days before departure 100% of total price

6. TRANSPORT

Unless otherwise defined, the following terms shall have the meanings as follows: “Transport” collectively refers to the cruise, ferry, fast boat, train, flight, automobile carriage, coach, bus or a combination of these.

a. All Transport’s schedule, rates, model and type may subject to change by Service Provider without prior notice.
b. All issued Transport ticket by the Service Provider, unless otherwise specified, is non-transferable, non-replaceable and for single use only. Replacement of lost ticket is at the customer’s own cost and subject to availability
c. All issued ticket is correct at the time of print, we are not responsible for any change or cancellation by the Service Provider for any reason. We will use reasonable endeavors to seek alternative arrangement. The company shall also not be held liable for any contingent costs incurred by you arising from the change or cancellation.

7. ACCOMMODATION

Unless otherwise defined, the following terms shall have the meanings as follows: “Accommodation” collectively refers to the hotel, villa, suite, B&B, special lodging or a combination of these.

a. Exotic destination, island, town, village may have a non-orthodox classifying/rating/grading scheme for Accommodation. We will use reasonable endeavors to describe the Accommodation. We are not responsible for any dispute as a result of assumption on your part by associating with classifying/rating/grading scheme employed by any country, organization, institute, travel guides, websites and prints.
b. Exotic destination, island, town, village may have unique geographical landscape and the Accommodation property has it’s own architectural design, structure, layout and interior design that suit the local policies, regulations and completely at the owner’s discretion. We will use reasonable endeavors to describe the Accommodation. We are not responsible for any dispute as a result of assumption on your part by associating the Accommodation’s exterior and interior with properties elsewhere.
c. Exotic destination, island, town, village may have safety concern and as a result has a strict accessibility regulation and no-child policy. Customers requiring aid with accessibility or child travelers must be informed prior to time of booking. We are not responsible for any damage, injury, loss of life and extra costs incurred.
d. Accommodation details shall only be informed during the collection of travel information pack.
e. In the event of non-availability of a specified Accommodation, an alternative of the similar category may be used. Photos are representative only and do not necessarily depict the actual room in which you will be accommodated.
f. Due to business agreement, the company is not able to breakdown the cost of Accommodation. We are not obliged to discuss prices that you found on internet, media, travel guides, prints and other sources or by word of mouth.
g. You are responsible for any incidental charges at your hotel, including, but not limited to charges for telephone access, internet, in-room movies and food & beverage surcharges.

8. WEDDING, PHOTOGRAPHY & ASSOCIATED SERVICE

Unless otherwise defined, the following terms shall have the meanings as follows: “Content Creator” collectively refers to the photographer, videographer, makeup artist, hair stylist, sound engineer or a combination of these. “Content” collectively refers to the photos, images, videos or a combination of these, both unedited or edited.

a. Wedding venue shall be the property for where the wedding event will take place. By making a booking for the use of the venue, you agree to abide to the rules and regulations set by the property owner on the use of the property, including the conduct of all invited guests. We reserve the right to ask the person, which in our opinion exhibits persistent bad behavior, to vacate the venue.
b. In the event of non-availability of a specified Service Provider, an alternative of the similar category may be used. However, we endeavor to inform you any changes as soon as we are aware of it.
c. You undertake to only engage Service Provider that we provide. Due to business ethics and compliance to local authority, any private engagement or appointment of Service Provider on your part is not possible. We reserve the right to forfeit all fees already paid and cancel the booking if there is a breach of agreement.
d. You will receive finished content in an industry-recognized digital format. Finished content are edited during post-production and demonstrate best possible representation of the event to the style of the content creator. We do not accept instructions to alter, amend or edit the content in a manner contrary to the reputation and style of the content creator. We do not deliver raw material.
e. We do not keep any copies of the content, you are responsible to make backups.
f. The company and Content creator have the right to the content. Any distributions and publication on print media (newspaper, newsletter, magazine etc) and new media (websites, blogs, social media etc) must be credited to the company or content creator, with prior consent from the company.
g. You agree to have us the rights to use the content for marketing and advertising purposes such as exhibitions, industry events, conferences and publishing on print or new media.
h. Sample photo and past references are representative only and does not necessary depict or guarantee the final product, result or experience.
i. Amendment and cancellation policy applies as stipulated in clause 4 & 5.

9. DISCLAIMER

Travel is personal and every customer’s expectations and experiences may differ. The company will not be liable for, any description, photograph, representation or warranty made by or provided by any third party not relating to the Company.

10. COMPLAINTS

No complaint will be accepted unless it has been first reported to the company and local representative, management of the hotel or Service Provider at the time that it happened. Our Service Provider will do our best to rectify the situation. Thereafter, a formal complaint must be made in writing within 14 calender days from the date of return for consideration at our sole discretion. No responsibility is accepted in respect to complaints made after 14 calender days of return.

11. HEALTH & SECURITY

Any physical, or mental disability requiring special attention or treatment must be noted at time of booking. The company and Service Provider reserve the right to exclude such customers, unless prior approval for their participation has been obtained.

Global situation is constantly changing, security and well being is utmost concern to all of us. Unexpected events around the world, along with “Travel Advisory” put out by governments, may at times necessitate changes to itinerary or even trip postponement or cancellation. Customer must understand these are possible risks and accept responsibility for your own travel decisions.

12. TRAVELING WITH MINORS

Travelers under 18 years of age must be accompanied by an adult. Any person under 18 years old traveling with an adult other than his/her parent or official guardian, his/her parent or official guardian is required to comply with the requirements of any relevant airline and/or regulatory authority relating to minors.

13. TRAVEL INSURANCE

We strongly recommend that you purchase a comprehensive travel protection plan upon confirmation of your service, both for protection against emergencies which may occur, with respect to such areas as trip cancellation, personal baggage, personal accident, injury, illness and travel agent insolvency. Under no circumstances is the company to be construed as a carrier under contract for safe carriage of customer or his/her baggage & belonging, responsible for the health conditions of customer, work commitments or family crisis, misinterpretation of rules and regulations as determined by government bodies, airlines and service providers.

14. TRAVEL DOCUMENTS

a. You shall be responsible for obtaining the appropriate visa and carry a valid international passport at all times. You have to ensure that your international passport has a validity of at least six (6) months beyond the conclusion of the trip. Kindly note that passport and visa requirements are not the responsibility of the company and/or its Service Provider and are not liable for any loss or expense due to your failure to comply with the above.
b. We are not responsible for any expenses, reimbursement or refund of any Service prices or unused components if the customer is delayed or refused entry by any country for whatever reasons, including lack of necessary visas and improper documentation.

15. VISA APPLICATIONS

a. You shall be responsible for obtaining a valid travel visa for entry to the destination.
b. We may assist in providing supporting documents for your visa application. However this is evaluated on a case-by-case basis and we reserve the rights to charge an administration fee.
c. Each embassy or consulate require varying lengths of time to process visa applications. We are not responsible for the outcome. Customer unable to travel as a result of rejected visa application shall be treated as a withdrawal by the customer and consequently cancellation policy shall apply.

16. RESPONSIBILITY

a. Please note that the company is acting to arrange for services rendered. The responsibility of the company is limited. Even after deposit or full payment has been made, all arrangements are still subject to final confirmation.
b. If due to some unforeseeable circumstances the arrangement cannot be finalized and the booking has to be cancelled, the company will endeavor to notify you as early as possible.
c. The company will not accept any responsibility in the event of the weather conditions, strikes, damage, loss, accident, illness, delay or other irregularity due to defects in any vehicle used for transportation, or the fault of any Service Provider and any other related party including their employees, associated with the booking made through the company.
d. The company is not responsible for any consular, political, or military complications created voluntarily, or involuntarily by you or by any other person, or reason.
e. No Service Provider or their employees or agents are authorized to commit the company to any liability whatsoever and the company shall not be bound by any statement or representation unless it is in writing and signed by a management of the company.
f. If in our reasonable opinion that your behavior is causing danger, damage to property or upset others, we reserve the right to terminate your Service. No refund or compensation will be paid.
g. We value our customers and endeavor to treat customers with respect. Likewise, we expect the same treatment from customers to our employees. We will not tolerate any form of abuse or threats; verbal, physical or online, and reserve the right to refuse service and pursue further recourse.

17. CONFIDENTIALITY CLAUSE

The company is committed to maintaining the confidentiality of customer data. Customer particulars are solely for the purposes of completing sales transactions. We may pass the information you provide such as name, address, any special needs/dietary requirements etc. on to the relevant Service Provider of your travel arrangement. The information may also be provided to public authorities for custom or immigration purposes if required by them, or as required by law.

18. DIGITAL CONTENT

Images may be captured during events organized and hosted by us using film photography, digital photography, video or other medium and may be used for publicity and/or use in advertisements across media such as website, social media, company prospectus or brochures, newsletters and may be provided to the media for publication. Individuals attending an event organized by us are deemed to have given their consent by attending or remaining at the event. Any queries or complaints shall be treated on a case by case basis.

19. MISCELLANEOUS

a. Company will not be held responsible for, merchandise value or delivery of any items i.e. souvenirs, artifacts, jewellery, carpets, pottery, art etc which are purchased on recommendation of Service Provider, throughout your holiday journey.
b. The company reserves the right to change, amends, inserts or deletes any of the terms and conditions, or policies contained in this document, as the case may be, without prior notice. Customers are responsible for checking our website to update themselves on the latest Terms of Service.
